How To Reduce Costs When You’re Arranging A Charity Event

Charity events – which can come in all themes, shapes, and sizes – are one of the best ways to raise money for your particular cause. Because they are a lot of fun, people will feel they are getting something for their donation, and they might donate more than they usually would. At the very least, it’s a great way to ensure more people know about the work you do and why you do it. 

However, there is an issue that comes with organizing a charity event that can’t be ignored; the cost. Charities don’t often have a lot of money to spare since most of their profit will go to the cause they’re supporting, and that means you need to reduce costs as much as possible when you’re arranging a charity event, but you need to do so without sacrificing (too much) quality. Read on to find out some of the things you can do to achieve this. 

Have A Budget 

Before you can start to think about reducing your costs, you’ll need to know what you can spend and how much things are going to cost. Otherwise, you might do a lot of hard work to reduce costs only to find that you still can’t comfortably afford them. 

Start by creating your budget. Look at the money you have ‘spare’ that can go towards this event, and think about how much of your ticket sales can be used to boost that amount. You’ll want to allow as much money as possible to go to the people your charity is helping, so this will need to be a minimal amount. 

Once you know how much you have to spend, you can work out the costs of everything you need, from a venue to music to food and so on. Now is the time to speak to the vendors and see what kind of discount you can get because you know exactly what your figures are and what will make the difference. 

Get Things For Free

When you run a charity, you’ll need to be adept at getting some of the things you need for free. It won’t always be possible, but if it can be done, it should be done. This might mean compromising at times. For example, if the venue you originally wanted will cost money, but another one is willing to give space for free, that is the one you should choose even if it’s not as perfect as the first one seemed to be. Keep in mind your goal; you’re making money for your cause. 

You can even get some advertising for free to help boost awareness of your charity cause. This would help hugely, as it will mean more people are aware of what you’re doing, and more tickets can be sold. 

Pick The Right Time

A Christmas or new year event is going to be a lot more expensive than something held at what might be termed the ‘off-season.’ Therefore, try to avoid as many holidays and festivals as you can as you’ll often find the venue and entertainment are cheaper – they would rather sell something than nothing, so they reduce prices at times many people wouldn’t usually book. 

If you can do this, you might also find that more people can attend because they’re not always committed to other events.
